Case study: Accountability Matters

Published on

Challenge

The RIPE NCC, a not-for-profit membership organisation, needed clear and transparent communication to fulfil its governance and accountability obligations. Two critical components of this were the General Meeting (GM) and the Annual & Financial Reports, ensuring compliance with its governance framework and transparency to its members.

Strategy

  • Took ownership of organising and running the General Meeting, overseeing everything from vote registrations to reporting on outcomes.
  • Established clear content governance and communication processes for key corporate documents, including the Annual and Financial Reports.
  • Strengthened relationships with executive leadership, board members, and internal stakeholders to streamline processes and ensure alignment.

Execution

  • Managed the vote registration process via the RIPE NCC website, integrating a third-party voting system.
  • Created and maintained transparent communication on the website and via email regarding timelines, topics under discussion, and voting instructions.
  • Worked with internal teams and external vendors to ensure the electronic voting system was properly set up and executed flawlessly.
  • Ghostwrote statements for the Chairman of the Board and CEO, ensuring a consistent and professional tone.
  • Oversaw content development and sign-off for the Annual and Financial Reports, collaborating with internal stakeholders.
  • Delivered presentations at the General Meeting, explaining the voting process, and coordinated vote counting and verification on-site.

Results

  • Flawless execution of the General Meeting, ensuring full compliance with governance requirements.
  • Increased transparency and engagement through clear and structured communications.
  • 25% year-over-year increase in vote registration, achieved by gamifying the process and tracking registrations by country.
  • Improved efficiency and collaboration, reducing friction in content development and approval processes.
